Users

An overview of the 'Users' page within 'Accounts.

On the 'Users' tab, Super Admins can manage the accounts of users. Users have the ability to take activities and track and review their own progress within R1 Discover.

Accessing Users

  1. Navigate to the 'Accounts' page on the left navigation.

  2. Click on the 'Users' tab.

Managing Users

In the 'Users' tab, Super Admins can view and manage the accounts of all the users within the R1 Discover platform. Here's how you can use the functionalities provided:

Adding New Users

  • Click on 'Add User' to enter details for a new user account.

  • Fill in the mandatory fields:

    • Username: This is a name unique across the entire R1 Discover platform

    • Email: (Optional, but HIGHLY recommended) Each user can have a unique email that they will use to interact with the system. It will be used for logins, password resets, activity completion reports, and coming soon optional notifications.

    • Assign Location: This field aligns the user to a specific location. Users can only be aligned to one location at a time. Admins with permissions to see the location and program of this user will be able to see their activity data and reports.

    • Assign Practitioner: This field aligns the user to a specific practitioner. Users can only be aligned to one practitioner at a time, however admins with the program & location permissions will be able to see users from other practitioners. Admins with permissions to see the location and program of this user will be able to see their activity data and reports.

    • Assign Program: This field aligns the user to a specific program. Users can only be aligned to one program at a time. The program determines the topics and activities the user can access. Read more on the Curriculum page. Admins with permissions to see the location and program of this user will be able to see their activity data and reports.

  • Fill in the optional fields:

    • Company Username: Optional Field, if there is a specific ID or Username for users, that can be set here without concern if the Username is avaialble within R1 Discover. Users would be able to login to the R1 Discover Company Login page with this username. Read more about Company Login Pages and Company Usernames.

    • First & Last Name: Optionally include the User' First & Last Name. They can add later in their profile if they choose.

    • Phone: Optionally include the User's Phone Number. They can add later in their profile if they choose.

    • Description: Optionally include a description for the User. They can add later in their profile if they choose.

    • Password: Optionally set the initial login password for the User. They will be required to change upon their first login.

  • Select 'Save'

    • One Save is selected, the new user will immediately get an email with details on setting up their account. Share the User Setup Guide with them for getting started.

    • If an email was not inputted, R1 Discover will provide you the new User's password, document this password so it can be shared with the user.

Importing Users

It is also possible to bulk add / edit users via the import function. This is the recommended and most efficient route if you have many users to add to the system.

  • Select Export CSV: This will down a CSV file, this is the import template.

  • Find and Open the CSV:

  • Add the following mandatory fields:

    • ID: This field MUST be left blank for NEW users

      • For updating existing users, this field MUST be completed w/ their R1 Discover ID

    • Username: This is a name unique across the entire R1 Discover platform

    • assigned_pratitioner: This field aligns the user to a specific practitioner. Users can only be aligned to one practitioner at a time, however admins with the program & location permissions will be able to see users from other practitioners. Admins with permissions to see the location and program of this user will be able to see their activity data and reports.

      • Input the Practitioner (Admin) email in this field.

    • assigned_location: This field aligns the user to a specific location. Users can only be aligned to one location at a time. Admins with permissions to see the location and program of this user will be able to see their activity data and reports.

    • assigned_program: This field aligns the user to a specific program. Users can only be aligned to one program at a time. The program determines the topics and activities the user can access. Read more on the Curriculum page. Admins with permissions to see the location and program of this user will be able to see their activity data and reports.

    • status: The status of the user (active/inactive). Input 'active' for new Users

  • Fill in the optional fields:

    • first_name & last_name: Optionally include the User's First & Last Name. They can add later in their profile if they choose.

    • Phone: Optionally include the User's Phone Number. They can add later in their profile if they choose.

    • Description: Optionally include a description for the User. They can add later in their profile if they choose.

  • Save the file as a .csv & note the location

  • Select "Import Users"

  • Select the newly saved .csv file

  • Select OK

    • One OK is selected, the new users will immediately get an email with details on setting up their account. Share the User Setup Guide with them for getting started.

    • If an email was not inputted, R1 Discover will provide you the new User's passwords, document this passwords so it can be shared with the users.

Editing User Details

  • To edit a user's details, click the 'Edit' icon on the right side of their row.

  • After their account has been setup, personal details cannot be changed here. They have the ability to do so in their own profile. Editing a User has to do with altering their alignments, these are the fields that can be edited:

    • Assign Location: This field aligns the user to a specific location. Users can only be aligned to one location at a time. Admins with permissions to see the location and program of this user will be able to see their activity data and reports.

    • Assign Practitioner: This field aligns the user to a specific practitioner. Users can only be aligned to one practitioner at a time, however admins with the program & location permissions will be able to see users from other practitioners. Admins with permissions to see the location and program of this user will be able to see their activity data and reports.

    • Assign Program: This field aligns the user to a specific program. Users can only be aligned to one program at a time. The program determines the topics and activities the user can access. Read more on the Curriculum page. Admins with permissions to see the location and program of this user will be able to see their activity data and reports.

  • Select Save, the new alignments take effect immediately.

Activating/Deactivating Users

At any time it is possible Activate or Deactivate a User.

Deactivating User(s)

When a User is deactivated, they do NOT lose total access to their account. However, they are no longer able to take new activities. As long as they have an email associated with their account, they will ALWAYS be able to review past activities.

Deactivation happens immediately once the Deactivation Icon in selected AND confirmed. (See Red Circled User Icon w/ an X on right side of User line item.

Reactivating User(s)

When a User is reactivated, they gain access to once again take activities that are mapped to their program alignment. It is important to revalidate their program, location, and practitioner alignments by selecting the 'Edit User' icon once they are reactivated.

Reactivation happens immediately once the Reactivation Icon in selected AND confirmed. (See Green Circled User Icon with the + on right of User line item.
